Environment and Natural Resources actively collaborates to protect, manage and restore ecosystem health, promote environmental stewardship and support the wise use of natural resources for the benefit of ecosystems, which include the people of the Northwest Territories.
The Executive Secretary to the Assistant Deputy Ministers is located in Yellowknife and reports to the Assistant Deputy Minister, Operations (ADM OP) and the Assistant Deputy Minister, Corporate and Strategic Planning (ADM CSP). The incumbent performs senior secretarial and administrative duties for the ADMs and also functions as the key secretarial support for the five Regional Superintendents. The incumbent ensures that all written documentation conforms to departmental and government formats procedures and policies. The incumbent prepares and finalizes all written documentation for senior executive initials/signatures. The ADMs Executive Secretary provides guidance and direction to all Divisional support staff. In addition, there exists a close relationship between the ADMs Executive Secretary and the Deputy Minister's Senior Administrative Coordinator. A high degree of cooperation is required between the two positions as common issues, urgent requests and subject matter will require collaboration to complete most tasks. They must have complementary skills, knowledge, abilities and compatible work styles.
The majority of the work is self-initiated; however advice and guidance may be solicited from the supervisor. The incumbent works independently within methods and procedures specified by the supervisor. The incumbent receives written and verbal instruction and is assigned deadlines from the supervisor. The incumbent deals daily in person or on the telephone with a variety of contacts including departmental staff, officials from other government departments, representatives from Indigenous Governments, organizations and the general public.
Decisions resulting in poor quality of work, delays in meeting deadlines and errors made in performing duties could create embarrassment to the organization. Breaches of confidentiality and/or the provision of inaccurate/incorrect information can have serious legal implications.
Typically, the above qualification would be attained by Grade 12 with the completion of a Secretarial Arts Program plus 5 years progressive experience working in a senior administrative office.
Equivalent combinations of education and experience will be considered.
The salary for this position starts at $32.28 per hour (approximately $62,946 per annum) plus an annual Northern Allowance of $3,450.
