About the Job

The Executive Assistant (EA) is responsible for confidential administrative support and communications support to the Chief Operation Officer (COO) and the Chair of the Regional Wellness Council (RWC). They ensure the administrative needs of the management team are met in a manner that ensures the functions of the Northwest Territories Health and Social Services Authority (NTHSSA) - Yellowknife Region are conducted in an effective manner, and in accordance with policies, procedures and directives. The EA works closely with the COO in preparing, organizing and monitoring several high level organizational activities and supports/facilitates numerous special projects.
The Executive Assistant reports directly to COO, is responsible for effective communication and organization of the Executive Office and is expected to anticipate and identify COO's needs and affairs, with utmost discretion and an understanding of the relationships between the NTHSSA Executive, Department of Health and Social Services (DHSS), other regional authorities, local governments, and the community at large.
The position is the primary point of contact for RWC Members, COO's, senior management, regional management and public and must have strong communication and critical thinking skills. The EA works with highly confidential and sensitive information such as personnel matters, medical and labor related issues, lawsuits external and internal complaints and financial information. This position directly supervises Administrative Assistant, casual staff and summer students.
Typically, the above qualifications would be attained by:
An undergraduate Degree in Commerce, Business, or similar discipline, and a minimum of two years related work experience (Communications, Management, Facilitation, and Administrative Assistant).
A diploma in office administration and 4 years of progressively more responsible administrative or office management duties.
Experience supervising staff is an asset.
Appointment of Notary Public or Commissioner of Oaths is required.
Driver's License Requirement
A mandatory requirement for this position is a valid Class 5 Driver's License
Equivalent combinations of education and experience will be considered.
